Hot-Desking Display
A hot-desking display is a screen at or near a shared desk that shows real-time availability, booking status, and occupant information to support flexible seating in hybrid offices.
Also known as: Desk Booking Screen, Flex Desk Display
What Is a Hot-Desking Display?
A hot-desking display is a small screen — typically a tablet or compact LCD panel — mounted at or near a shared desk in a flexible office environment. It shows whether the desk is available, who has it booked, and for how long. In more advanced setups, it allows walk-up booking directly on the screen.
Hot-desking displays are the desk-level equivalent of room booking displays, and they address the same core problem: in a hybrid office where nobody has an assigned seat, people need a fast way to find and claim a workspace.
Why Hot-Desking Has Grown
The shift to hybrid working — where employees split time between home and office — means most companies now have more employees than dedicated desks. Hot-desking (also called desk hoteling or flex seating) allows the same physical desk to be used by different people on different days.
Without a display system, finding a free desk means walking the floor, checking an app, or asking facilities staff. A hot-desking display solves this at the point of decision — right at the desk itself.
Typical Features
- Live availability status — green/red indicator for occupied vs. free
- Booking details — name of current occupant, booking end time
- Check-in confirmation — employee taps to confirm their arrival, releasing unclaimed bookings after a grace period
- Walk-up booking — reserve the desk directly on the screen if it shows as available
- Calendar integration — syncs with the organisation's desk booking platform (Microsoft Places, Condeco, Robin, etc.)
Hardware Options
Small-format tablets (7"–10") running Android or a browser-based app work well for hot-desking displays. They can be mounted flat on the desk surface, propped on a stand, or fixed to a desk divider. Power-over-Ethernet (PoE) setups keep cabling clean in open-plan offices.
Connection to AI and Automation
In 2026, hot-desking displays increasingly connect to occupancy sensors and AI systems that can predict desk demand, suggest optimal seating based on team proximity preferences, and automatically release abandoned bookings. See AI and digital signage in 2026 for broader context on how AI is reshaping workplace displays.
